Terms of Service

1. Agreement and eligibility
These Terms form an agreement between you and RoundsBrief AI (“RoundsBrief,” “we,” “us,” or “our”) governing the website, application, and related services. You accept them by checking the agreement box, creating an account, accepting an updated version, or using the service after acceptance.
You must be at least 18 and legally able to enter a contract. If you use RoundsBrief for an organization, you represent that you are authorized to bind it; separate organization terms may also apply.
2. Service purpose and clinical boundary
RoundsBrief is a private professional-learning, reflection, and recall workspace. It is not an EHR, medical device, clinical decision support system, emergency service, or source of medical advice.
Do not use it for diagnosis, treatment, orders, urgent follow-up, test-result closure, patient communication, regulated recordkeeping, or any patient-care decision. Clinical responsibility and professional judgment always remain with the user.
3. Accounts and security
Provide accurate information, maintain control of your account email, protect your credentials, and promptly report suspected compromise. You are responsible for activity under your account unless applicable law provides otherwise.
We may require anti-bot checks, reauthentication, or updated legal consent to protect accounts or comply with law.
4. Synthetic and de-identified information only
The current pilot accepts only synthetic information or information already de-identified through an appropriate process. Do not enter patient names, voices, contact information, record numbers, images, dates, locations, rare-event combinations, or other details that identify or could reasonably identify a person.
The identifier scanner is a warning aid, not a certification of HIPAA de-identification. You are responsible for having permission and a lawful basis for all content you provide.
5. AI-generated output
Generated titles, summaries, organization, research prompts, and insights may be inaccurate, incomplete, outdated, or misleading. Review, edit, or reject output before saving. Similar output may be produced for different users.
As between you and RoundsBrief, you retain your rights in content you submit and may use generated output to the extent allowed by law and third-party rights. We do not use private workspace content for advertising or to train public models under the current pilot configuration.
6. License needed to operate the service
You grant RoundsBrief a limited, non-exclusive license to host, process, reproduce, and display your content only as necessary to provide, secure, maintain, and improve the service according to the Privacy Policy. This license ends when content is deleted, subject to operational backup and legal-retention limits disclosed in that policy.
7. Acceptable use
Do not misuse the service, violate law or third-party rights, probe or bypass security, access another user’s workspace, upload malicious code, scrape or overload the service, reverse engineer restricted components except where law permits, impersonate others, resell unauthorized access, or use output to harm, discriminate against, or make decisions about a person.
8. Integrations and third parties
Optional services such as email, calendar import, transcription, and payment processing may be provided by third parties. Their terms and privacy practices apply to their services. You authorize only the data transfers needed for integrations you deliberately enable.
9. Plans, renewals, cancellation, and refunds
Before a paid purchase, checkout will show price, billing interval, renewal, and cancellation information. Unless stated otherwise, subscriptions renew automatically until canceled. You may cancel through the billing portal; access continues through the paid period unless law or the offer states otherwise.
Fees are generally non-refundable except where required by law or expressly promised. Failed payment may limit paid features. Stripe-hosted checkout collects card details. RoundsBrief does not.
10. Suspension and termination
We may suspend or terminate access for material breach, security risk, unlawful use, nonpayment, or conduct that threatens users or the service. When feasible, we will give notice and an opportunity to cure. You may export and delete your workspace using account settings, subject to authentication and legal-retention requirements.
11. Intellectual property
RoundsBrief and its software, design, branding, documentation, and service content are owned by us or our licensors. These Terms grant only a limited, revocable right to use the service; they do not transfer our intellectual property.
12. Availability and changes
The pilot may change, experience interruptions, or end. We do not promise an uptime level unless a separate written service-level agreement applies. Material Terms changes will use a new version and require renewed acceptance when appropriate.
13. Disclaimers
To the fullest extent permitted by law, the pilot is provided “as is” and “as available,” without warranties of uninterrupted operation, fitness for a particular purpose, clinical accuracy, non-infringement, or error-free output. These disclaimers do not limit rights that cannot lawfully be waived.
14. Liability and disputes
Production limits of liability, indemnification, governing law, venue, arbitration or court process, class-action treatment, and opt-out rights depend on the final legal entity and launch jurisdictions. They are intentionally not invented in this pilot. Licensed counsel must approve these provisions before paid public use.
15. General terms
If one provision is unenforceable, the remainder stays effective to the extent permitted by law. Failure to enforce a provision is not a waiver. You may not transfer these Terms without consent; we may transfer them with the service or business subject to applicable law. The Privacy Policy and any plan-specific terms are incorporated by reference.
16. Contact
A monitored legal contact address, business entity name, physical notice address, and jurisdiction must be added before public launch. Until then, use the account support channel provided during the pilot.
